The Opportunity
We are seeking a highly organised and proactive Office Administrator to support the smooth day-to-day running of the company’s offices.
This role will act as a key coordination point across facilities, suppliers, building management, administration, expenses, events and executive support. You will help ensure each workplace is professional, well maintained, welcoming and operating efficiently.
Working closely with the Executive Assistant and Executive Leadership Team, this role would suit someone who enjoys variety, takes ownership, has strong attention to detail and is comfortable managing multiple priorities in a professional services environment.
Key Responsibilities
Office & Facilities Management
- Manage the day-to-day operation of the office, ensuring the workplace is well presented, stocked and professionally maintained.
- Act as the primary contact for building management, contractors and suppliers regarding maintenance, repairs, access and installations.
- Coordinate office moves, furniture relocations, storage arrangements and site access for trades.
- Manage office supplies, kitchen consumables, equipment servicing and plant maintenance.
- Maintain workplace security, visitor management and access passes.
- Support WHS requirements including fire safety, first aid and emergency procedures.
Expenses, Invoicing & Financial Administration
- Prepare and submit staff expense claims and reimbursements with supporting documentation.
- Liaise with Accounts Payable to ensure invoices, expenses and purchase orders are coded and processed accurately.
- Raise and manage purchase orders, reconciling these against approved budgets and supplier quotes.
- Monitor office expenditure and support cost control across facilities spend.
- Manage corporate card reconciliation and maintain accurate financial records.
Executive & Administrative Support
- Work with the Executive Assistant to provide high-quality administrative support to executives.
- Assist with calendar management, inbox coordination, meeting scheduling and travel arrangements.
- Prepare, format and distribute reports, presentations, board papers and meeting packs.
- Support document workflows and approvals using platforms such as DocuSign.
- Maintain organised digital and physical filing systems.
Vendor, Lease & Supplier Coordination
- Manage relationships with vendors, suppliers and service providers.
- Support lease administration, renewals and tenancy documentation.
- Source and coordinate quotes, services, repairs and installations.
- Ensure suppliers are delivering quality, value and timely service.
Events, Onboarding & Culture
- Plan and coordinate internal events, meetings, team functions and catering.
- Support employee onboarding by preparing workstations, access requirements and equipment coordination.
- Liaise with IT and internal teams to ensure new starters are set up smoothly.
- Contribute to a positive, organised and collaborative workplace culture.
About You
To be successful in this role, you will bring:
- 3+ years’ experience in office administration, office management or executive support.
- Experience working in a corporate, professional services or technology environment will be highly regarded.
- Strong Microsoft Office skills including Outlook, Word, Excel, PowerPoint and Teams.
- Experience managing expenses, invoices, purchase orders or basic financial administration.
- Excellent organisation skills and strong attention to detail.
- Professional written and verbal communication skills.
- The ability to engage confidently with executives, employees, suppliers and external stakeholders.
- A high level of discretion, confidentiality and professionalism.
- A proactive, hands-on and solutions-focused approach.
- The ability to manage competing priorities and work autonomously when required.
