About the Role:

You will play a key role in the day-to-day coordination of the sales administration function, ensuring a seamless process from listing through to settlement. Your responsibilities will include uploading property listings, preparing contracts, managing sales files, preparing accounts of sale, coordinating settlements, and handling Sales Trust Accounting with accuracy and attention to detail.  To be successful in this role, you will bring a minimum of 2 years’ experience in a real estate administration role, along with a current REIQ Certificate.

Duties:

  • Prepare and process Form 6 Agreements, ensuring accuracy and compliance
  • Upload and maintain property listings 
  • Review and check Form 2 Seller Disclosure Statements
  • Enter and manage sales and marketing expenses
  • Receipt and process marketing funds and sale deposits
  • Reconcile Sales Trust Account, including end-of-month processing
  • Coordinate settlements and related financial documentation
  • Prepare Contracts of Sale and distribute executed contracts to all relevant parties
  • Liaise with solicitors and all parties through to settlement
  • Manage reception duties on Mondays and Tuesdays
  • Open and prepare the office for daily operations
  • Greet clients and direct them to the appropriate team members

Skills and Experience:

  • Minimum 2+ years’ experience in Real Estate Administration supporting a sales team
  • Current REIQ Certificate (essential)
  • Proven experience with Contracts of Sale, Form 6 documentation and settlements
  • Strong understanding of Sales Trust Accounting processes and compliance
  • Experience using MultiArray or similar real estate CRM systems
  • High level of attention to detail and accuracy across documentation and financials
  • Strong organisational skills with the ability to manage multiple priorities
  • Confident communicator with the ability to liaise professionally with clients and internal and external Stakeholders
  • Proactive, reliable and able to work both independently and within a team
  • Professional presentation and a customer-focused approach
  • Current Drivers Licence
